Staff schedule and coverage

The draft-and-publish schedule — weekly patterns, week/day/list views, coverage math, and publishing that drives booking availability.

The Staff schedule (/staff/schedule, reachable via View Schedule on the Staff page) runs on two ideas: every person has a weekly pattern that repeats automatically, and every change you make is a draft until you publish. Clients book against the published schedule — never against your work in progress.

First run

The first time in, a guided setup walks you through four steps: set your salon hours, add your team, set each person's weekly pattern, and review & publish week one. Nothing goes live until that final publish — booking availability opens only when you publish. In a hurry, you can skip setup and start with a blank week.

Three views

  • Week — the default grid: staff as rows, days as columns, with a legend for Published / Draft change / Leave / Off. The footer totals hours, coverage vs demand, labor cost, and expected revenue per day. Click any staff member's day cell to edit that shift.
  • Day — one day with each person's shift and booking count, plus who's off today.
  • List — every shift in the week as rows with break, hours, and status — the quickest place to spot Draft · edited rows and overtime pills.

The upcoming weeks strip across the top shows each future week's coverage percentage and state — published, drafts pending, blockers, or "pattern preview · not published". Click a chip to jump to that week.

Edit, then publish

  1. Edit a shift

    Click a cell, adjust start, end, and breaks, and choose the scope: Only this week (a one-off change) or Every week from now on (updates the pattern going forward, keeping other weeks' one-off edits).

  2. Review the draft

    A banner counts your unpublished changes — "Availability still reflects v{n}" — and the Unpublished changes panel lists each one with an undo. Conflicts re-check automatically at publish.

  3. Publish the week

    Publish week makes it live: booking availability updates and affected staff are notified in the app — one message per person per publish, no matter how many edits. Blocking conflicts must be resolved first; warnings don't block.

Shortcuts for real life

  • Sick today — the one instant action: it removes today's shift, logs sick leave, and publishes immediately, then suggests a replacement to reassign. Revertable from version history.
  • Copy last week — copies last week's final schedule onto this week as this-week-only changes.
  • Edit weekly pattern — the steady-state week per person, without touching individual weeks.

Version history

Every publish is a version. Version history (in the ⋯ menu) lists each one — who published, and whether it came from a normal publish, a restore, copy-last-week, or the sick-today fast path. Restore turns any old version into a new draft; nothing publishes until you review it.

Coverage and compliance

The Needs attention panel collects everything worth a look: coverage below demand, solo-cover hours, missing skill coverage, overtime above your cap, and missing legally required breaks. Each row is tagged Blocks / At risk / Compliance / Request — only "Blocks" stops a publish. Tune the overtime cap, break check, and notification behavior in Scheduling settings.
