The Intake admin page in depth

Filter bar, stat cards, expiring callout, bulk reminders, audit log — every part of the /intake list page.

The Intake sidebar item routes to /intake and renders the Client intake admin list. The basic flow — send a link, review a submission — is in intake forms. This article is for the rest: the filters, the stat cards, the expiring callout, bulk actions, and the audit log.

Across the top of the page there's a breadcrumb (Workspace / Intake) and the page title, with three buttons in the top right:

  • View audit log — opens /intake/audit, a chronological log of every intake-related action (links sent, links resent, submissions reviewed, links cancelled, templates published).
  • Manage templates — opens /intake/templates, the template editor (covered in Intake forms).
  • Send intake form — primary CTA. Opens the Send link flow.

Expiring callout

If any of your sent intake links are due to expire within 24 hours and haven't been filled out yet, a dismissable callout appears below the page header — "N intakes expiring in 24h" — with a Review button that jumps the list to the Expiring tab.

Tapping Dismiss hides the callout for the rest of the session. It comes back next visit if there are still expiring links.

Stat cards

A four-tile strip shows the headline numbers:

  • Submitted · this month — completed intake submissions for the month so far.
  • Awaiting client — links sent but not yet completed.
  • Expiring within 48h — links closer to deadline.
  • Avg. time to complete — typical seconds / minutes between link opened and submitted, useful for sanity-checking your template length.

A small last updated hint reads like "updated 2 minutes ago". The numbers refresh as the page sits open.

Filter bar

Below the stats, a filter bar with:

  • Tabs filter the list by status — All, Submitted, Sent, Expiring, Expired. Each tab shows a count badge.
  • Search — by client name, email, or phone.
  • Sort — pick between Recent first, Oldest first, Expiring soonest.

Switching tabs or changing the sort resets pagination to page 1. The list shows 50 rows per page.

The submissions table

Each row shows:

  • Client — name + avatar.
  • Status badgeSubmitted, Sent, In progress, Expires in [N]h, Expired, or Superseded (when a new link replaced this one).
  • Primary date — submitted-at or sent-at, depending on status.
  • Filled-in locale — the language the client used (e.g. EN, ES).
  • Per-row actions on hover — Copy link, Resend, Remind, and a View → link to the submission detail.

Bulk actions

Each row has a checkbox. Selecting one or more rows reveals a bulk action bar at the top with Send reminder — fires a reminder for every selected sent / in-progress / expired link in one go. The toast shows how many succeeded vs. failed.

The audit log

The Audit log at /intake/audit is intake-only — it's separate from the platform admin audit log and from the (not-yet-shipped) salon-level audit log. Entries include who did the action, when, what changed, and a link to the relevant submission.

Use it when:

  • You can't remember if you actually sent that reminder.
  • You need to defend the timing of an intake link in a dispute.
  • You changed a template and want to see when the new version went live (template publishes show up here).
