Getting started with gift cards & packages

What gift cards, packages, and account credit are, where to manage them, and how money flows from sale to redemption.

Gift cards and packages let clients pay you before the visit. A gift card holds a dollar balance anyone can spend; a package is a prepaid bundle of sessions for specific services; account credit is a balance attached to a client's profile. Randvu tracks all three as prepaid instruments with a full ledger, so you always know what's outstanding.

Where it lives

Open Point of Sale → Gift cards & packages in the sidebar (/pos/prepaid). The console has four tabs:

  • Overview — your outstanding liability, aging chart, breakage report, and a CSV export for accounting.
  • Packages — the package templates you sell, with New package, Edit, and Activate/Deactivate.
  • Gift cards — every issued instrument: search by code, name, or email, filter by type and status, and click a row to open its ledger.
  • Policy — expiry rules, breakage handling, commission timing, and your jurisdiction.

The life of a gift card

  1. Sell it

    At the register or on your public storefront. The card gets a unique 16-character code, shown as XXXX-XXXX-XXXX-XXXX, and is emailed to the recipient with a balance link.

  2. It activates on payment

    A card sold at the register is pending until the sale completes. Cards can't pay for the sale they're bought in — they activate after payment.

  3. Redeem it

    At the register, at appointment checkout, or in online booking. Partial redemption is fine — any remainder stays on the card.

  4. Track the rest

    Every issue, redemption, refund, and expiry is a ledger entry. The Overview tab totals what's still outstanding.

Gift cards vs. packages vs. account credit

  • Gift card — a dollar balance tied to a code. Great for gifting; spendable on anything.
  • Package — prepaid sessions for specific services (for example, five blowouts). Sessions redeem only against matching services, so they're personal rather than giftable.
  • Account credit — a plain balance on the client's profile, spendable like a gift card. Membership plans can grant it automatically each billing cycle.

Set your policy first

Before selling, review the Policy tab: country and state, gift-card expiry (blank = never), default package validity, breakage handling (Report-only or Auto-recognize), and whether staff commission is recorded at redemption (recommended) or at sale. Some states don't allow gift cards to expire — the form warns you inline. You must tick "I understand" before saving.
